House Manager / Personal Assistant

An Executive family based in Mahwah, NJ is seeking a sophisticated House Manager / Personal Assistant to assume global responsibility for their household operations and offer personal administrative support. Their ideal candidate is a highly organized and efficient self-starter who consistently demonstrates great judgment. The person will play a crucial role in quarterbacking their busy lives by ensuring seamless coordination of their household team, calendars, travel, and event planning.


**This position is a hybrid role based in Mahwah, NJ 2-3 days remote and 2-3 days onsite at CEO/Founder’s home office ** 

Qualifications:

  • Previous experience as a Personal Assistant, Executive Assistant, and/or House Manager.
  • Highly organized and efficient, with the capacity to handle multiple tasks concurrently.
  • Self-starter, capable of taking initiative and working independently.
  • Skilled at managing multiple calendars.
  • Experience coordinating complicated travel arrangements.
  • Demonstrates discretion, independent judgment, and proactive anticipation of the principals' needs.
  • Strong communication skills with exceptional attention to detail.
  • Significant experience with Google Suite / Microsoft Office Suite / Power Point / Excel
  • Possesses a valid driver's license and transportation.
  • Comfortable with children.

Responsibilities: 

  • The person will play a crucial role in quarterbacking the family’s busy lives by ensuring seamless coordination of their household team, calendars, travel, and planning events.
  • Managing personal and family calendars and all related appointments, meetings, and reservations.
  • Managing their NJ residence, domestic staff and vendors.
  • Developing a House Manual with essential information and inventories.
  • Coordinating significant overseas travel and building itineraries.
  • Maintaining a contacts database and monitoring important dates and occasions.
  • Overseeing intimate gatherings at the residence.
  • Event planning, support and execution for the principal’s non-profit organization.
  • Running errands as needed.

* This is a Full Time position which includes a Benefits package (medical, dental, vision, life insurance) in addition to 401k + 4% match, PTO, and paid holidays.
